Now Hiring: Director of League Operations

The Junior League of Gainesville-Hall County (JLGHC), located at 1547 Riverside Drive, Gainesville, GA, is an organization of more than 300 women who, since 1951, have been committed to promoting voluntarism, developing the potential of women, and improving our community through effective action and the leadership of trained volunteers.

The Junior League of Gainesville-Hall County is seeking a Director of League Operations to assist with building management, basic financial management, office administration, and other day-to-day operational tasks, as needed. 

This is a part-time position with three days of regular office hours and flex hours to assist with building related items. This position is 24-30 hours per week, depending on building rentals and League operating demands. 

Office Hours: Tuesdays, Wednesdays, and Thursdays 9am-5pm (Days of the week are negotiable for the right candidate.)

Flex Hours to be used for rentals or other operational needs.

Duties and Responsibilities: 

  • Work closely with the Treasurer, Facilities Director, Board of Directors, and all other members of the JLGHC to ensure operational efficiency
  • Manage the kitchen rental relationship; including rent collection, maintenance requests, and other contract-related items 
  • Manage the pool; including annual memberships, maintenance, and cleaning
  • Schedule and attend building rentals, as necessary
  • Manage vendor contracts and attend necessary appointments for building general maintenance, trash removal, HVAC, landscaping, security, janitorial services, etc.
  • Collect and accurately record all fees owed to the JLGHC; including membership dues, kitchen rental payments, and other building rental payments
  • Ensure prompt payment of all bills payable by the JLGHC
  • Coordinate monthly accounting with Treasurer and JLGHC’s accountant
  • Other duties as requested by the JLGHC Board of Directors and the Facilities Director
  • Maintain the rental schedule
  • Check the mail at the physical League Lodge, as well as the PO Box at the USPS office in Gainesville.
  • Make deposits, at least weekly, to the bank
  • Distribute and subsequently collect rental contracts 
  • Collect and record all rental fees
  • Be available to renters for any and all questions via e-mail and phone (during business hours)
  • Attend (or arrange for someone to attend) all events that are scheduled
  • Maintain an annual budget, to be set by the Board each year
  • Report to the Board at their monthly meeting to review budget, rentals, building maintenance needs, and any other topics that are pertinent to the building and its operations
  • Collect, track, and allocate funds raised through fundraisers, including but not limited to: Charity Ball, GA Pre-K Week, and others. 
  • Work the check-in table and count donations at Charity Ball, typically held annually on the second Saturday of December, with obligations from 6:00pm – 10:00pm

Knowledge and skills required: 

  • Minimum of 2 years related work experience
  • High school diploma
  • Excellent written and verbal communication skills
  • Ability to work with a wide range of community members, renters, and JLGHC members
  • Ability to work independently
  • Ability to proficiently use Microsoft Suite (Word, Excel, etc.)
  • Ability to proficiently use Google Drive
